I cut the turnaround time on a lead nurturing workflow by about 25% because I saw where most prospects stalled. The data showed a big drop between the second and third email so I figured it was a timing or content problem slowing people down.

Using data analytics to improve automated processes begins when you view each workflow as a living system, rather than a simple set of rules. Some time ago, I established measurements of our automation at various touchpoints (process duration/handling time, error frequencies, handoffs, user application) so that I could use metrics to identify patterns on dashboards that were imperceptible without detailed data.

For example, we used our dashboards to discover that some of the automated notifications were being ignored by users at particular times of day, which led to backlogs in subsequent processes.

We learned to use data in two ways. First, we were able to measure inefficiencies: which steps were taking longer than anticipated, where we had recurring triggers for errors, and where handoffs were duplicative, etc. Second, we could make changes to improve the user experience, taking into account the timing, messaging, and priority of the automation with respect to what was actually happening in real life. Rather than implementing large, sweeping changes, using what we learned from data maps to inform small adjustments was key to progress. For example, I was able to alter workflows and add conditional logic based on user behavior, or immediately rearrange a sequence of steps to reduce all the unproductive time drains.

Over time, this data-oriented approach also revealed a larger lesson: automation only thrives when frequently informed by human data. Including both quantitative performance data and qualitative observations led us to not only achieve greater efficiency but also better adoption and satisfaction. Analytics transformed automation from a “set-and-forget” mechanism to a fluid, agile process that is now able to easily sense and adapt to usage and business priorities on the ground.

Over time, we’ve learned that keeping a pipeline healthy is less about chasing every opportunity and more about knowing which ones are worth the focus. When a new lead drops into the system, the first step is an automatic sense check. If it looks irrelevant, it’s noted as spam and likely moved aside; although we’ll always try to get in touch with even the most suspicious of leads, we won’t necessarily flag all of them for follow-up should it prove to be non-legitimate. From there, tagging comes into play, and we mark each lead depending on how likely they are to progress. It’s a fairly rudimentary system, but it allows us to see at a glance who needs attention straight away and who might take longer to come around.

The rest is driven by pre-built automation. Leads are placed into curated flows where emails, reminders, and updates are triggered without us needing to manually chase. These work on both sides of the business, with leads being emailed with relevant information about their chosen service, but the internal team being reminded to monitor the lead depending on the time between their last call and their continued interest in our work.

As a result, we’ve spotted where prospects often drop off, how long it usually takes them to convert, and which touchpoints make the most difference.
